Private Notes Column

Learn how to use the Private Notes column to keep per-user notes on any row — visible only to you

The Private Notes column gives every user their own personal notes space on each row. The column itself lives on the rundown like any other column, but the contents of each cell are unique to you — no one else on the show can see what you type there, even if they're looking at the same rundown side-by-side.

Use it for personal cues, reminders, or commentary you want with you in context but don't want to share with the rest of the crew.

Who can use it?

Once a Private Notes column has been added to a rundown, every user on the show gets their own private slice of it — Admins, Show Callers, Contributors, and Read only alike. Each person sees only their own notes.

Note: The ability to add a Private Notes column is currently limited to Admins & Showcaller permissioned users.

Adding the Private Notes Column

  1. Click the + button in the rundown toolbar to open the Add Column dialog.

  2. Open the Column Type dropdown and select Private Notes.

  3. The title will auto-fill as Private Notes — you can rename it if needed.

  4. Click Add Column.

How It Works

Every cell in a Private Notes column stores a separate entry for each user. When you click into a cell and start typing, you're editing your copy of that cell. Other users on the show see the same cell, but with their own (blank or filled-in) contents.

  • No cross-visibility: Nothing you type in a Private Notes cell is visible to other users — not to Admins, not to the show owner.

  • Rich text: You can bold, italicize, color, and format the text just like any other Rich Text cell.

  • Personal Column width: you can adjust the width / position of the private notes for more configuration options.

  • Highlights: You can apply a background highlight color to any of your Private Notes cells. Your highlights are also private to you.

  • Expand view: Click the expand icon on any cell to edit it in a larger dialog — handy for longer notes.

Printing and Exporting

When you export a PDF or print from your browser, the Private Notes column includes your notes. Other users exporting the same rundown will get their own notes — nobody ever sees another person's Private Notes, including in exports.

Notes

  • Private Notes are tied to your user account. If you log in on a different device and open the same rundown, your notes come with you.

  • If you're removed from a show, your Private Notes on that show are no longer accessible to you.

  • Deleting the Private Notes column removes it from the rundown for everyone. The cells themselves are archived with the column and can be restored if the column is re-added.
