Learn how to create and share guest passes to let external users view your event rundowns

What is a Guest Pass?

Guest Pass provides column-level sharing for individual shows. When enabled, it generates a unique public link that guests can access to view your rundown in read-only format. You decide which columns to include.

Common uses: Share timing breakdowns with remote participants, show crew sheets to production teams, share call sheets with talent, or distribute schedules with vendors, all without requiring accounts.

Guest Pass is show-specific: Each rundown has its own separate guest pass.

Opening the Guest Pass Modal

To access the Guest Pass settings:

  1. Open the rundown or schedule you want to share.

  2. Click the three-dots menu (More Options) in the top-right corner of the page.

  3. Select Guest Pass from the dropdown menu.

  4. The Guest Pass modal will open.

Setting the Access Level

The first step is to control who can access the guest pass:

  1. In the Guest Pass modal, you'll see a dropdown menu at the top left showing "Private" (with a lock icon).

  2. To enable sharing, click the dropdown and select "Anyone with the link" (with a link icon).

  3. When set to "Anyone with the link," the column selection and action buttons become active.

  4. To disable sharing, change it back to "Private". This immediately locks access to the guest pass.

Note: Private by default: Guest passes start in "Private" mode. You must explicitly switch to "Anyone with the link" to enable sharing.

Selecting Columns to Share

Once you've switched to "Anyone with the link," you can choose which columns appear in the guest view:

  1. The right side of the modal shows a list of all available columns from your rundown.

  2. Each column has a toggle switch next to it.

  3. Click the toggle to turn a column ON (included in guest view) or OFF (hidden from guests).

  4. Only columns you've toggled ON will be visible when guests view your link.

Reordering Columns

You can arrange the columns in any order you want for the guest view:

  1. Next to each enabled (toggled ON) column, you'll see a drag handle (vertical dots icon).

  2. Click and drag a column up or down to reorder it.

  3. Disabled columns cannot be dragged (they'll appear greyed out).

  4. The order you set here is exactly how guests will see the columns in their guest view.

Sharing the Link

Once you've configured your columns, there are two ways to share:

  1. Copy Link: Click the "Copy Link" button to copy the guest pass URL to your clipboard. You'll see a checkmark confirmation for 2 seconds. Paste the link into an email, message, document, or wherever you want to share it.

  2. Open in New Tab: Click the "Open" button to preview the guest view in a new browser tab. This shows you exactly what your guests will see.

What Guests See

When someone opens a guest pass link, they see:

  • Event details: At the top of the page, guests see the event name, rundown name, and rundown date. This makes it easy to confirm they're viewing the right document at a glance.

  • Read-only rundown table: Only the columns you selected, in the order you set them. Guests cannot edit anything.

  • No login required: The link works for anyone — no account, password, or authentication needed.

Options menu (⋯)

Guests have access to an options menu via the ellipsis button (⋯) in the top-right corner of the page. Clicking it opens a dropdown with the following actions:

  • Copy link — Copies the guest pass URL to the clipboard. A checkmark confirms the copy was successful.

  • Get latest — Refreshes the rundown to pull in any changes made since the page was loaded.

  • Download PDF — Downloads the current view as a PDF file, making it easy to save or print.

  • Theme toggle — Switches between light and dark mode to suit the guest's preference.

Notes

  • Remember it's public: Anyone with the link can view it. Treat guest pass links as sensitive and share them only with intended recipients.

  • Keep it updated: Changes you make to your rundown are reflected when guests use Get latest from the options menu.
